DUTIES AND RESPONSIBILITIES:
The Professional Services (PS) Program Services department is responsible for developing and encouraging project management practices and skills across PS, proactively tracking PS opportunities and ensuring capacity to deliver, providing resources and support to service delivery projects, contractor on-boarding and management, coordinating organizational measurement and reporting, and coordinating ERP support for PS.
The Project Coordinator may perform some or all of the following, as well as other duties, as assigned.
PROJECT MANAGEMENT PRACTICES AND SKILLS:
· Participates in the PS Project Management Council
Projects:
· Assists in coordinating custom document projects from initiation through delivery to the customer
· Assists in coordinating escalated custom support after delivery to the customer
· Coordinates projects for other PS departments from presales through Project Systems initiation to customer invoicing
· Participates with project planning and task estimation
· Works with a core team of compliance consultants, content engineers, and quality control engineers (both associates and on/offshore contractors in addition to other departments)
· Coordinates project flow through external departments
· Coordinates the control of data and artifacts of the program
· Assists with coordinating issue and risk responses across multiple projects
· Schedules project meetings and creates agendas and meeting minutes
· Attends project status meetings and updates tracking sheets as needed
· Provides backup to the Custom Document Project Managers.
· Is responsible for identifying efficiencies and reducing costs through adherence and enhancements to project management methodologies
CONTRACTOR ON-BOARDING AND OFF-BOARDING:
• Assists PS managers with contractor on-boarding and off-boarding
• Processes and tracks contractor vendor invoices
PROCESS:
• Coordinates PS process improvement efforts under the direction of the Program Services Manager
• Assists all PS staff with process documentation efforts
• Participates in the research, procurement, and implementation of new process improve tools
• Coordinates the training of all PS staff on new process improvement procedures and tools
Service Delivery :
• Assists the Program Services Manager in providing resources and support to PS service delivery projects
TRACKING OPPORTUNITIES AND FORECASTS:
• Assists the Program Services Manager in tracking PS opportunities and ensuring capacity to deliver
• Assists with implementing and maintaining an appropriate measurement program
MEASUREMENTS AND REPORTING :
• Assists the Program Services Manager in coordinating organizational measurement and reporting
ERP SERVICES:
• Assists the Program Services Manager in coordinating ERP support for PS
• Completes SAP process to request new material ID numbers for PS projects and services
• Performs SAP work to support the delivery of custom documents and services
• Requests or generates SAP reports as requested

• Understands strategic vision at the departmental level
• Supports performance and team goals that are consistent with business goals
• A clear understanding of partner relationships as they affect custom content development
• Excellent consultative skills with customer driven focus
